Organising a sporting event requires a considerable amount of forward planning, time, risk and expense. Approximately 9 - 12 months prior to our events taking place, work begins and costs are incurred. These include administrative, insurance, advertising, marketing, equipment, website and staff costs. As an event draws nearer, we continue to incur costs, many in relation to the number of entrants in the event.

Whilst we are investing into the cost of staging our events, there is no guarantee of their success, making financial planning an integral part of our events, event management and promotion. For this reason our 'Terms and Conditions' are here to ensure we are able to provide athletes with continued safe and enjoyable events.

Event rules & guidelines

The following event rules and guidelines are intended to help ensure the safety of all participants, to meet the requirements of local government permits and to be compliant with applicable regulations.

All entry fees are non-refundable and Washed Up Events Ltd retains the right to refuse entry to anyone declaring false information on their entry form, not making the required payment, or otherwise failing to meet the stated entry requirements.


An email address is required for all entries. All correspondence will be via email. A separate email address for each participant required.

To register for a Washed Up Events Ltd event you must be over 18 years of age on event day.

All applicants are aware that the nature of the event is physically demanding and that by entering the event they are confirming that they are capable of completing the event and that the organisers will not be held responsible for any injury or illness as a result of their participation.

Each participant must agree to the disclaimer and terms & conditions before participating in the event.

All participants take part at their own risk and a disclaimer waiving all claims against Washed Up Events Ltd and any party acting on its behalf must be completed by all entrants.

Registrants are responsible for being able to complete the distance they choose to swim. The responsibility falls to you to be prepared for the event you are undertaking. By taking part, all participants confirm that they are happy for their names and any footage or photographs taken during their participation to be used to publicise any Washed Up Events Ltd event.

Participant entries may not be exchanged with or transferred/ sold to any other person. Transfers between swimmers can only be done through Washed Up Events Ltd within the deadline of transfer displayed on the website, approx. 1 weeks before the event. All participants must provide their full name and details of any health problems or medication upon entry.

All entry fees are non-refundable

Entries may be deferred toward a future event within the same calendar year. Via email not later than 1 week before the event.

Registration closure is determined and announced when event participation reaches the established capacity.

Customers have the right to cancel any entry made over the internet as long as it is done within 14 days of the original entry date.

Our events are held in the outdoors in wonderful places and that is what makes them challenging and spectacular. Unfortunately from time to time extreme weather conditions can cause serious disruption to the areas of the event or make the running of the event unsafe or irresponsible.

On such occasions we may have to postpone the event. If this is done we will look for the nearest possible date to reschedule the event.

Event Day

Participants must follow instructions as given from all event officials including event staff, volunteers, medical personnel, security officers and city officials throughout the duration of the event.

All participants are expected to conduct themselves in a professional and courteous manner during their participation in the event.

All participants must acknowledge and agree that personal information (including medical information entered in my details or collected by event medical staff during or after the event) can be stored, used and disclosed by the Washed Up Events Ltd in connection with the organisation, promotion and administration of the event and for the compilation of statistical information.

Course Monitoring

Any participant who refuses to obey the directions of the event official, city official or course marshal, or who conducts himself/herself in an unsportsmanlike manner, or who is offensive by action or language to officials, volunteers, participants or spectators may be disqualified from the event and banned from future participation in any Washed Up Events Ltd event at the discretion of event officials.

Participant Safety

Participants are responsible for their recognition and understanding of event signage, symbols and colour relating to participant maps, facilities and direction.

Medical personnel authorised by the event to do so may examine any participant who appears in distress. If in the sole opinion of authorised medical personnel it is in the best interest of the participant’s health and welfare, medical personnel may remove the participant from the event.

Participants must retire at once from the event if ordered to do so by a member of the event’s official staff, official medical staff, or any governmental authority, including fire and police officers.

Participants are responsible and assume liability for any and all medical expenses incurred as a result of training for and/or participation in the event, including but not limited to ambulance transport, hospital stays, physician and pharmaceutical goods and services.

Event officials reserve the right to delay, cancel, or suspend the event due to inclement weather in accordance with emergency protocol on severe emergencies and/or inclement weather. No refund will be issued in these circumstances.

Result Timing

Participants must begin the event during the official recognized starting time in order to register an official course completion time.

A full list of results will be published online, on the results page of the event website, following each event.  Full and final results will also be made available to relevant parties for the purposes of verification for other events or for the updating of ranking systems.

Amendments / Reservations / Acknowledgements

Event officials reserve the right, to modify, supplement or waive all or part of the event rules.

Participants shall be bound by any modification or supplement of the event rules published prior to the event.

Failure to follow these event rules, as may be amended, will result in immediate disqualification and removal from official results.


In order to swim any Washed Up Events Ltd event, swimmers agree the following disclaimer and to the terms & conditions:

"I declare I will abide by the age limits set for the event and will abide by event rules. I declare that I will not compete in the event unless I am medically fit on the day of the event and that, in any event, I will compete at my own risk. I accept that the organisers, sponsors, partners, marshals will not be liable for any loss, damage, action, claim, costs or expenses, which may arise in consequence of my participation of the event. I also hereby give my permission to Washed Up Events Ltd to use my name, quotes, video and photographic likeness for marketing and promotional purposes.I also understand that entry fees are non refundable. I also agree terms and conditions before I will participate any Washed Up Events Ltd."​

Force Majeure

"Force Majeure" means an act of God including but not limited to fire, flood, earthquake, windstorm or other natural disaster; act of any sovereign including but not limited to war, invasion, act of foreign enemies, hostilities (whether war be declared or not), civil war, rebellion, revolution, insurrection, military or usurped power or confiscation, nationalisation, requisition, destruction or damage to property by or under the order of any government or public or local authority or imposition of government sanction embargo or similar action; terrorism; law, judgment, order, decree, embargo, blockade, labour dispute including but not limited to strike, lockout or boycott; interruption or failure of utility service including but not limited to electric power, gas, water or telephone service; failure of the transportation of any personnel equipment, machinery supply or material required by the event organiser for the provision of services pursuant to this Agreement, breach of contract by any essential personnel or any other matter or cause beyond the control of the event organiser.
